New API connection pulls requested records from the Prompt Health chart for outpatient rehab practices

ChartRequest has launched a direct API integration with Prompt Health, the leading AI-powered platform for rehab therapy practices.

For Prompt practices that use ChartRequest for release of information, requested records now move from the Prompt patient chart automatically. Staff no longer have to locate, export, and upload files by hand.

The integration supports requests from attorneys, payors, patients, and other requestors. Practices with large personal injury and workers’ compensation caseloads stand to gain the most, since attorney and payor requests are a steady source of front-office work for them.

How Does the Prompt Health Integration Work?

The integration connects ChartRequest to Prompt Health through a secure API. It has been running in production with early-adopter Prompt practices since late 2025.

When ChartRequest handles a practice’s requests, each request follows five steps:

  1. Verification: ChartRequest confirms the requestor’s identity and checks for a valid authorization or other legal basis for disclosure.
  2. Patient match: ChartRequest finds the correct chart in Prompt Health using the patient’s name and date of birth.
  3. Automatic retrieval: Once the request is ready for fulfillment, ChartRequest pulls the clinical and billing records for the requested dates of service.
  4. Review: Retrieved records appear in the request in ChartRequest, where the ChartRequest team reviews them for accuracy before release.
  5. Release and documentation: ChartRequest calculates fees under applicable state and federal rules, delivers the records securely, and documents the disclosure. Each retrieval is also logged in Prompt Health as an audit event.

Prompt Health remains the source of truth for clinical documentation, scheduling, billing, and patient engagement. ChartRequest handles the release workflow, and the practice keeps visibility into every request.

How Is Patient Data Protected?

The API connection between ChartRequest and Prompt Health is authenticated, restricted to approved IP addresses, and encrypted in transit using TLS 1.2 or higher. Stored data is encrypted at rest with AES-256, and role-based permissions limit who can access each request. From there, every request moves through the same security and compliance controls that protect the rest of the ChartRequest platform:

  • SOC 2 Type II: ChartRequest operates on SOC 2 Type II audited security controls, which verify that controls work consistently over time.
  • HITRUST-aligned controls: ChartRequest’s security practices align with the HITRUST CSF, a healthcare-specific framework that maps to HIPAA requirements.
  • HIPAA compliance: ChartRequest’s platform and operations are regularly audited for compliance with HIPAA rules.

What Changes for Prompt Practices

The biggest change is at the front desk. Staff no longer spend time pulling and sending records, and request status is visible in one place. Every completed disclosure also has a documented history.

When ChartRequest handles a practice’s requests, two ChartRequest team members independently check each request for accuracy and completeness before release. Fulfillment is also backed by a five-day turnaround guarantee written into the contract.

“Rehab organizations have spent years taking manual work out of scheduling, documentation, billing, and patient engagement,” said Sergio Bustamante II, Head of Product at ChartRequest. “Yet medical record requests can still leave someone at the front desk downloading files and chasing requests.

“This integration lets Prompt practices stay in control of what gets released without keeping all of that administrative work on their staff.”
